Under the direction of the of clinic director, the Administrative Assistant-Receptionist’s primary role is to provide reception and administrative support for the New American Legal Clinic. This position serves as first point of contact with clients, students, and faculty; it requires experience handling a high volume of telephone calls/email and exceptional customer service skills dealing with the general public.

 MINIMUM REQUIREMENTS:

  • Minimum of 1-2 years’ experience working in an immigration firm or agency
  • B.A./B.S. preferred, or equivalent combination of education and administrative experience
  • Minimum two years increasingly responsible administrative and clerical experience
  • Able to work nights and/or on weekends, occasional overtime. Normal workweek is 35 hours (9a.m.-5p.m.)
  • Significant experience in high level English/Spanish written and verbal translation is necessary
  • Intermediate/Advance skills with Microsoft products

KNOWLEDGE AND SKILLS:

The individual in this position must have immigration knowledge and ability to employ correct English and Spanish usage, verbal and written, including spelling, grammar and punctuation; possess knowledge of professional telephone etiquette and of modern office procedures and equipment, including computer software,  proficient at multi-tasking; maintain strict attention to detail, record-keeping techniques, receive and follow instructions; respond constructively to changing situations;  and independent follow-through; possess interpersonal skills to create good working relationships with a diverse staff, faculty, student, and client population; a high work ethic, good judgment and be professional, reliable, responsible, flexible; protect confidential information; and learn and apply college policies and procedures.

Essential Job Requirements- a typical day.

  • Reliably opening, closing, and working the reception desk; maintaining professional atmosphere of the Clinic office.
  • Professionally respond to incoming telephone calls, discern appropriate information, and direct case inquiries.
  • Ability to employ English/Spanish in both verbal and written form; transcribe and translate documents English/Spanish.
  • Scheduling of clinic calendar and appointments; notifying faculty and students of any appointments and/or changes; watching for critical deadlines and replying to government notices in a timely manner.
  • Assisting clients filling out FBI/DOJ forms.
  • Notifying clients of ASC appointments and USCIS interviews by phone and by mail.
  • Emailing and communicating with volunteer attorneys for upcoming interviews.
  • Excellent customer service skills (written and verbal) and desire to work with a diverse population of people.
  • Preparation of business correspondence employing correct grammar, punctuation, and spelling.
  • Data entry and typing into eAir data base and spreadsheets; ability to enter and verify information with accuracy and at a reasonable rate of speed; ability to read and decipher data on source documents to be entered.
  • Must be able to upkeep spreadsheets for reporting purposes.
  • Knowledge of routine office practices and procedures; clerical responsibilities including processing incoming/outgoing mail, file maintenance, etc.
    Handling paperwork for office purchases, mailings, memberships, subscriptions, and other necessary transactions.
  • Ability to understand and follow oral and written instructions.
  • Display a high level of discretion to protect confidential client information and in a professional manner.
  • Supporting miscellaneous immigration related events including preparation of materials.
  • Responding to clients’ case case inquiries.
  • Assisting staff members in completing grant deliverables.
  • Ability to multi-task various tasks/projects.
  • Ability to utilize Microsoft Office (Word, Excel, PowerPoint), Outlook, Internet Explorer.
  • Typing 35-40 words per minute.
  • Maintain regular on time attendance.
  • Other responsibilities as assigned.

Salary Range:    $18.50 - $25.00 Hourly

Physical: The job is typically performed indoors with heat/air-conditioning. The applicant must be able to perform the essential functions of the position satisfactorily which include reading, typing/ keyboarding, lifting to 10 pounds, on average six plus hours at a workstation.
